1. Who we are
Codex Electric (“we,” “our,” “us”) is a service brand of Callahan Electrical Services LLC, a Maryland limited liability company. We are a licensed electrical contractor serving residential and commercial customers in Baltimore and the surrounding counties. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.
2. Information we collect
Information you provide directly. When you call us, submit the callback form on this website, or hire us for work, we collect your name, mobile phone number, service address, email address, and a description of the electrical issue you'd like help with. If we complete work for you we also collect billing information (processed by our payment provider).
Information collected automatically. When you visit codexelectricmd.com we receive standard web log data, including IP address, browser type, referring page, and timestamp of your visit.
Call and SMS data. Calls to our number are answered by an AI phone receptionist. We process the call audio, transcript, caller phone number, and timestamp in order to route your request to the right electrician. SMS confirmations and follow-ups contain the information needed to communicate with you about scheduling and service.
3. How we use your information
We use the information we collect to:
- Return your call, schedule service, and complete the electrical work you've requested;
- Send appointment confirmations, callback notifications, and service updates by SMS or email;
- Keep accurate records for billing, warranty, permit, and tax purposes;
- Prevent abuse of our phone and messaging systems and comply with legal obligations;
- Improve the way we answer and route calls over time.
We do not sell your personal information. We do not share it with third parties for their own marketing purposes.
4. How we share your information
We share information only with service providers who help us operate the business, and only to the extent necessary. These providers include:
- Twilio — telephony and SMS delivery;
- Vapi — AI voice receptionist platform that answers incoming calls;
- Netlify — website hosting;
- Billing, scheduling, and accounting software used to run the shop.
We may also disclose information if required by law, to establish or defend legal claims, or to protect the rights, safety, or property of Codex Electric or others.
5. SMS messaging and telephony
How you opt in to SMS from Codex Electric. You consent to receive SMS messages from us in one of two ways:
- By submitting the callback form on this website with the SMS consent checkbox checked. The form will not submit without that checkbox.
- By calling our business number and verbally confirming to the AI receptionist that we may follow up by text. You may decline at any time and still receive a callback by voice only.
What we send. Appointment confirmations, callback notifications, scheduling messages, arrival-time updates, and service-related follow-ups about the work you asked us to do. We do not send marketing or promotional messages.
Message frequency varies based on the service you've requested and the stage of the job. Message and data rates may apply.
How to opt out. Reply STOP at any time to any Codex Electric message to opt out of all future SMS. Reply HELP for assistance, or contact us at codexelectricmd@gmail.com. Opt-out requests are honored immediately.
Carriers are not liable for delayed or undelivered messages.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
6. Cookies and analytics
codexelectricmd.com uses only essential cookies required to operate the site. We do not use third-party advertising cookies. If we add analytics in the future we will update this Policy and provide notice.
7. Data retention
We retain customer records for as long as needed to support warranty, permit, legal, and accounting obligations — typically seven years for job records and billing. Call audio recordings and transcripts are retained for up to 90 days unless a longer hold is required for a specific job, and may be deleted sooner upon request.
8. Your rights
You may request to: access the personal information we hold about you; correct inaccurate information; delete your information (subject to legal retention requirements); or object to certain uses of your information.
To exercise any of these rights, email codexelectricmd@gmail.com. We will respond within a reasonable time, typically within thirty (30) days.
9. Security
We use reasonable technical and organizational measures to protect your information, including encryption in transit and restricted access to records. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
10. Children's privacy
Codex Electric is not directed to children under 16 and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.
11. Changes to this Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date at the top of this page and, if the changes are significant, notify customers in a reasonable manner.
